What an ATS is—and what it cannot guarantee
An ATS is a system used to manage applications. Its capabilities depend on the vendor and each employer's configuration: it may store documents, extract text, support searches, or apply filters.
There is no single ATS score valid for every employer. An external tool can provide guidance on clarity or matching terms, but it cannot reliably predict a hiring decision.
Use recognizable sections and headings
Organize the document with clear headings such as Experience, Education, Skills, Languages, and Certifications. Consistent visual hierarchy also helps people find information quickly.
Custom headings may work, but avoid creative names that hide what a section contains.
Choose a format that supports text extraction
Export a PDF with selectable text or a properly structured DOCX. Check that copying the content preserves a reasonable reading order.
Write important details as normal text rather than placing them only inside images or charts, because some systems may not interpret them. If you use tables or multiple columns, copy the final file's content and confirm that it reads in the correct order. A simpler design reduces the risk of mixed-up information.
Write specific, consistent content
Systems may locate terms, but a person needs to understand them. Connect tools and knowledge with experience, projects, or outcomes.
Keep dates, role titles, and employer names consistent. Never hide keywords, repeat terms meaninglessly, or copy requirements you do not possess.
Align terminology with the opening
When a posting uses a standard term that accurately describes one of your real skills, recognizable wording can help. You may retain synonyms when they add context.
Honesty remains the priority: a keyword cannot turn missing knowledge into experience.
Readability checklist
Review the exported file—not only the editor preview—before sending it.
- Your name and contact details appear as text.
- Sections have clear headings.
- The reading order makes sense.
- The font remains comfortably legible.
- Relevant skills appear with context.
- The filename identifies the candidate and document.
